Project Overview

The 2023 International Congress of Actuaries (ICA2023) was a major global event held at ICC Sydney, welcoming over 1,500 attendees from more than 80 countries. Hosted by the Actuaries Institute Australia, the event provided a platform for knowledge sharing, professional development, and global networking within the actuarial industry.

The Party Hire Company partnered with Grand Stand Events to deliver a comprehensive shell scheme solution for the exhibition component of the event. The Party Hire Company supplied and installed the Octanorm framing system for 26 exhibition booths, forming the structural foundation of the exhibitor environment, while Grand Stand Events managed broader delivery including signage, logistics, and exhibitor coordination.

The result was a professional, fully operational exhibition space aligned with the scale and prestige of ICA2023, enabling exhibitors to engage effectively with delegates throughout the event.

Scope of Work

Shell Scheme Booth Construction

The Party Hire Company delivered and installed a 26-booth Octanorm shell scheme system, comprising:

22 x 3m x 3m Octanorm Booths, each featuring:

• 2 x LED arm lights for visibility
• 1 x 10amp power point
• 1 x custom printed fascia sign
• White PVC infill wall panels for a clean, professional finish

4 x 6m x 3m Octanorm Booths, each including:

• 4 x LED arm lights for even illumination
• 2 x 10amp power points
• 2 x custom printed fascia signs
• White PVC infill wall panels for structural consistency

The modular Octanorm system allowed for a consistent, scalable layout while providing exhibitors with the flexibility to customise their space.

Electrical Installation

To support all exhibitor requirements, electrical infrastructure was delivered in coordination with Grand Stand Events, including:

• 3-phase switchboard with six 15amp circuits
• Leads and distribution systems across all booths

Logistics & Event Services

The Party Hire Company supported the event with key operational services, ensuring a smooth installation and pack-down process:

• Warehouse pick and pack services
• Transport and on-site logistics coordination
• Post-show disposal and recycling services
• Consumables to support installation and exhibitor needs

Exhibitor Stand Enhancements

Working alongside Grand Stand Events, a number of exhibitors upgraded their shell scheme booths with custom furniture, AV, and branding enhancements. These ranged from integrated screens and branded counters to lounge-style meeting spaces, allowing exhibitors to tailor their environment to their engagement strategy.

The flexibility of the Octanorm system ensured all customisations could be seamlessly integrated without compromising the overall layout or visual consistency of the exhibition.

Execution & Delivery

Installation was executed within a tight bump-in schedule at ICC Sydney. The Party Hire Company’s structured approach to staging and installation ensured all booth structures were installed efficiently and accurately.

Close coordination with Grand Stand Events and venue management ensured all infrastructure was delivered on time, compliant, and ready for exhibitor fit-out.

Outcome & Impact

All 26 exhibition booths were delivered fully constructed, powered, and ready for exhibitor setup ahead of the event opening.

The completed environment provided a clean, professional, and functional exhibition space, supporting strong exhibitor engagement and contributing to the overall success of ICA2023.
